Transportation Services

One of the simplest, yet most important, aspects of a trust-worthy document management facility is how they make their delivies. Sure enough, today's business world calls for instant, digital delivery more often than not, but what about the other 10% of the time when you need an important document placed physically in your hand?

Most facilities offer a variety of services, including standard delivery, rush delivery, and after-hours. Different storage centers define these services in different ways. For instance, does a rush delivery mean a document is in your hands in 30 minutes, an hour, or maybe two hours? What is the window of time a standard delivery typically takes to arrive? Are there additional charges for after-hour deliveries, and if so, how much are they?

All of these are questions you must ask before investing in a document management service. Assesss your needs before hand, keeping in mind that different industries have different needs in the way of timeliness and rush deliveries. Be certain that when you choose a document storage program for your business, they are capable of meeting all of your delivery needs for a price that won't break your bank.

Storage Containers - Card File Boxes

Today the Document Storage Blog will begin examining various types of document storage containers typically used at an off site facility. Today, we begin with a box typically used for smaller card stock and paper items - card file boxes.

Card file boxes are rectangular with steel inforced corners and a shallow lid. Sizes range from the dimensions of a typical postcard to a few inches wider and longer. They're perfect for storage if you need to get rid of older study aides or medical notes.

Off-site Media Vaults

Keeping a back log of your company's important files and information is becoming more important with each passing year. Using an external harddrive is an easy and convenient way to back up all of the digital information in your office, but what is the point if a fire or natural disaster strikes your building? Office Amenities

The various office amenities available on site is an important factor in selecting a document management center. In the event that you or one of your employees need to physically retrieve a group of documents or oversee a shredding, it's important that they have internet, fax and telephone available while at the facilities. Most storage center's now offer these basic office perks, but be sure to ask before signing a contract.
