Climate-controlled Vaults

GRM's media vaults are built to meet the strict fire resistant construction standards of the American National Standards Institute and the National Fire Protection Association. The environment, which is designed to preserve and secure video and film, is equipped with an independent HVAC system and computer-monitored to maintain a temperature range between 65¨ and 68¨ and relative humidity between 35% and 45%. Key pad entry, motion detectors, CCTV and an interlocking sprinkler and pre-action smoke detection system offer state-of-the-art security and protection. And the vaults are strategically located to provide rapid turnaround to broadcast and production centers.

Technology

All video and film storage units -- individual tapes, reels and storage cartons -- are monitored by advanced bar code tracking technology. Vault librarians utilize the most advanced laser scanners. All GRM drivers, equipped with laser scanners and portable printers, provide clients with scanner-validated delivery and pickup receipts. Digital Dispatch, GRM's proprietary fleet management and performance software, monitors all retrieval activity. And a full-time IT staff is always available to lend technical support.

How Familiar are you with Document Destruction Regulations?

Fox Business's website posted an article today on the general lack of understanding amongst large businesses of federal and state level regulations regarding document destruction. According to a recent poll, 75 % of the executives questioned claimed they had a working knowledge of federal regulations, but only 30 % of them had a clue what FACTA was. Here's a brief excerpt from the article:

"Some companies will soon have to contend with a new set of FACTA mandates from the FTC. Effective Nov. 1, 2008, financial institutions and creditors must have a formal program for preventing identity theft. Commonly known as the Red Flag Regulations, these new guidelines require companies to identify and account for "red flags," defined by the FTC as "patterns, practices and specific forms of activity that indicate a possible risk of ID theft.""

Australian Companies Not Hopeful about Paperless Prospects

In a recent report out of Australia - studies have shown that attaining a truly "paperless office" is a lot harder for small businesses than initially hoped. We at GRM pride ourselves on helping companies to make the transition to paperless operations, but lets face it - technology is not ready to handle an office with zero hard copies or files. That's why we're equipped to handle electronic data management, as well as traditional document storage.

The article from the Australian site discusses how the theory of the paperless office looks good on paper, but isn't panning out like it's supposed to for many small to medium sized businesses. Here's a brief quote from the article:

"According to a survey of 260 small, medium and large Australian companies, more hard copies of documents are being produced today than there were five years ago."
